About the role
Neo is looking for a reliable, detail-oriented Accounts & Payments Executive to own the financial operations of the business. At its core, this role is about one thing: keeping the books clean and payments moving accurately and on time.
The primary focus of this role is maintaining accurate books of accounts in Zoho Books, managing vendor payments end-to-end, and executing all banking transactions through online portals. These three areas make up the bulk of the job and the yardstick by which performance is measured. Supporting activities include MIS reporting in Zoho Analytics and participating in process automation alongside our in-house automation expert — both of which build on top of a solid operational foundation.
Responsibilities
Books of Accounts & Journal Entries
Maintain complete and accurate books of accounts in Zoho Books daily — with zero backlogs
Pass journal entries for all transactions: expenses, provisions, accruals, prepayments, depreciation, and period-end adjustments
Ensure correct ledger mapping, cost centre tagging, and GST/TDS treatment on every entry
Manage integrations between Zoho Books, Zoho Expense, and Zoho Inventory to ensure data flows accurately across modules without manual rekeying
Perform monthly ledger reviews; identify and correct mispostings proactively before close
Maintain audit-ready documentation for all entries per internal SOPs
2. Vendor Payments & Full AP Lifecycle
Own the complete vendor lifecycle in Zoho Books: onboarding with KYC and contract filing, PO creation, three-way matching (PO – GRN – invoice), approval routing, and payment recording
Verify all invoices for accuracy, GST applicability, RCM treatment, and TDS deductibility before processing
Maintain a real-time vendor payment tracker; proactively flag due and overdue payments
Reconcile vendor ledgers monthly and resolve open items and disputes independently
Handle all vendor queries on payment status, TDS certificates, and account reconciliations without escalation for routine matters
3. Banking & Payment Execution
Execute all outgoing payments via corporate banking portals — NEFT, RTGS, IMPS, and foreign remittances (SWIFT/wire)
Verify beneficiary name, account number, IFSC, and invoice amount against approvals before every transfer
Reconcile all bank accounts with Zoho Books daily; resolve unreconciled items within 3 business days
Maintain a daily payment log and share a concise summary with the Manager – Accounts each evening
Liaise independently with banks for failed transactions, documentation requirements, and statement discrepancies
Record petty cash and credit card expenses in Zoho Books with correct categorisation and GST treatment
4. Month-End Close & Compliance Support
Complete month-end close in Zoho Books within 3 working days: reconciliations, provisions, accruals, and ledger sign-off
Prepare bank reconciliation statements, creditor ageing, advance reconciliation, and prepayment schedules
Support the Manager – Accounts with TDS workings, GST data compilation, and statutory audit schedules
Ensure all compliance-related transactions (TDS deductions, RCM entries, FEMA documentation for foreign payments) are correctly recorded and flagged to the Manager on time
5. Process Automation — Supporting Activity
We value candidates who have a natural curiosity about process improvement and can contribute meaningfully to automation initiatives — but the expectation is collaboration, not independent delivery. You will work alongside our in-house automation expert, bringing the business logic and accounting knowledge while they handle the technical build.
Identify repetitive or error-prone manual tasks in AP, bookkeeping, and reconciliation workflows; document the current process clearly and bring it to the automation expert with enough context to act on
Build and maintain structured Excel and Google Sheets models for bank reconciliation, vendor spend analysis, creditor ageing, and budget-vs-actual cost tracking
Participate actively in building and testing Zoho Flow automations alongside the automation expert — define the business logic, map accounting data fields, and validate that outputs in Zoho Books are accurate before go-live
Build and maintain Excel and Google Sheets macros and templates for reconciliation and reporting tasks that sit outside Zoho — this is owned independently
Document all automations with clear process maps and maintain a live tracker of manual vs. automated workflows
Proactively identify new automation opportunities from daily operations and build or propose solutions
6. Zoho Analytics & MIS Reporting
Build and maintain dashboards in Zoho Analytics covering: daily cash position, AP ageing, vendor spend by category, month-on-month cost trends, and payment cycle TAT
Set up scheduled reports in Zoho Analytics for the Manager – Accounts and leadership, reducing ad hoc data requests
Build Excel/Sheets models for monthly cost variance analysis (budget vs. actual by cost centre and expense category)
Support the Manager – Accounts with structured data for board MIS packs, FP&A reviews, and audit schedules

Experience & Qualifications
B.Com / M.Com / any graduate
CA Inter or CMA Inter candidates welcome if they are seeking a high-ownership execution role and are comfortable with the individual contributor scope long-term
4–8 years of hands-on finance and accounts experience
Prior experience in a SaaS or technology startup is mandatory.
Must have independently owned books of accounts, vendor payments, and bank reconciliations in a previous role — not as part of a large team where tasks were fragmented
Zoho Finance Stack: Hands-on experience with Zoho Books, Zoho Expense, and Zoho Analytics, Zoho Payroll is an added advantage
Banking & Payments: Must have independently executed payments via corporate banking portals. Experience with foreign remittances (SWIFT/wire) and associated FEMA documentation is preferred
Technical & Compliance Skills:
Advanced Excel and Google Sheets — pivot tables, VLOOKUP/XLOOKUP, SUMIFS, dynamic named ranges, and the ability to independently build reconciliation and variance analysis models
Macro or scripting ability (Excel VBA or Google Apps Script) to automate repetitive spreadsheet tasks
Working knowledge of TDS deduction rules, GST (including RCM), and basic FEMA requirements
API and webhook awareness — not required to write code, but must be comfortable configuring triggers and understanding data field mappings in Zoho Flow
